Agenda samples which work well
With the below agenda samples, you will be able to make a foundation for a structured meeting. Writing an agenda is easy when you have done this a few times, but writing an effective agenda takes a bit more time.
Ease sample meeting agenda format
Below example of an agenda is the most simple one:
Agenda for the board meeting of ABC Products of March 15, 2010, at 9.00 hrs., location New York office
- Opening/Welcome
- Announcements and documents received
- Approval of minutes of meeting held [date]
- Launch of new products
- New company car policy
- Any other business
- Adjournment
Agendapoint nos. 4 and 5 are examples in this specific case; the other points are standard items for a meeting agenda.
As you can see, all agendas are numbered, which makes reference and making meeting minutes a lot easier.
More detailed meeting agenda
One of the agenda samples, which is a bit more detailed, can be found below:
Agenda for the board meeting of ABC Products of March 15, 2010, at 9.00 hrs., location New York office
- Opening/Welcome (9.00 - 9.05)
- Announcements and documents received (9.05 - 9.20)
- Approval of minutes of meeting held [date] and action list (9.20 - 9.35)
- Launch of new products (9.35 - 9.45)
- New company car policy (9.45 - 10.15)
- Financial report of February (10.15 - 10.25)
- Any other business (10.25 - 10.40)
- Adjournment (10.40 - 10.45)
As you can see, the time scheduled for each agenda point is mentioned. This type of agenda is used when meetings tend to overrun their schedule. The times indicated is the maximum time which is scheduled for each specific agendapoint. This facilitates the chair person to end too long discussions. The agendapoint can be shifted to the next meeting. Sometimes it is possible to extend discuss the point in another setting outside the meeting.
Another thing which is added, is the action list. This list, which contains the actions which were agreed in former meetings, will be discussed after approval of the minutes. This takes more time, but is very effective, as the status of the actions points is recorded, so actions will not disappear in the fog, or be forgotten.

In comparison with the above agenda samples, the goal of the agenda item is mentioned, as well as several attachments were added. Now it is clear what is exptected from the attendees, and they receive information in advance, so that they can prepare better for the meeting. Another addition, and clarity, is the person who has brought up the agenda item is mentioned.
The biggest advantage of a good preparation, is that the meeting can be used for comments and good disuccsions, instead of reading and presenting of the papers during the meeting. This is the most effective of the meeting agenda samples shown.
